Media Production And Events

The following terms and conditions are set out to protect all parties involved when booking a corporate or private event with Media Production and Events (hereinafter referred to as 'us' or 'we').

• We will require a minimum of one and a half hours to set up a disco
• Breakdown (dismantling) of our equipment will take approximately one and a half hours
• Comperes for auctions, quizzes and horserace nights will arrive one and a half hours before the event and will require a PA system and radio microphone unless agreed in advance that they will provide their own equipment. The compere will perform for a maximum of two hours at the agreed rate. Any performance exceeding this period will incur a rate of £50 per hour thereafter. Accommodation may be required (see clauses 9 & 10)
• Evening events: The agreed price is for a fixed period, arriving on site no earlier than 4:30pm and performing for up to 4 hours or until 1:00am. Any performance that overruns 1:00am will incur an additional fee of £100 per hour
• Evening events: If we are required to be on site before 4:30pm, a £50 early set-up fee will be charged, or £100 if before 2:00pm
• Daytime events: We will normally arrive on site at 8:15am. If we are required earlier, an £80 early set-up fee will be charged. If travel distance exceeds 80 miles, accommodation will be required for the night before and standard evening event rates will also apply (see clauses 9 & 10)
• In the case of outdoor events, e.g., a marquee event, an adequate and accessible power source within 20 feet of the set-up area must be provided by the venue or client. The same requirements apply to indoor events. We are not responsible for supplying electricity to the set-up area. Whilst every effort is made to comply with health and safety regulations within the set-up area, persons entering the area do so at their own risk. It shall be deemed that parents and guardians shall be wholly responsible for the safety of their children and they must exclude their children from this area
• In the event that we bring in suppliers on behalf of the client/ hirer, a deposit of 50% of both the suppliers' and our fees will be required in advance. This is non-refundable in the event of cancellation within the time limits set out above
• Accommodation will be required by us for either late finishing events or where travel distance exceeds 80 miles one way 10. If we are required to travel to an event the preceding day or night, our fee will include an additional charge of £85. This will be charged if we are required to stay over (clause 3 above)

• Cancellations fees vary. If an event is booked within three months, a cancellation fee of 50% will apply if cancelled within eight weeks of the booking. 100% of the fee will be payable for any subsequent cancellation. If a confirmed booking is taken either by phone or e-mail within four weeks of the event and subsequently cancelled, 100% of the fee will be charged
• We cannot absolutely guarantee the DJ or performer you have specifically booked as, occasionally, unforeseen circumstances that are out of our control (for instance, illness) might prevail. In such circumstances, however, we will make every reasonable effort to supply a DJ or performer of equivalent standard and the agreed fee will still apply.
• If a contract or invoice is faxed and there is agreement by telephone or e-mail between the client/ hirer and us then such agreement will be construed as a formal contract between the parties. All of our terms and conditions, including cancellation terms in clause 11 above shall apply
• Reasonable provision of refreshments is expected at the event for all members of our team, including suppliers contracted by us
• Our equipment is of the highest standard and is regularly tested to meet Health and Safety requirements. We have public liability insurance up to £5,000,000 (as per policy no. RTT112094, Hencilla Canworth Ltd.)
• Prices vary depending on the event. All prices quoted are inclusive of VAT. Events taking place in November and December are exempt from our normal rates
• Media Production and Events is approved by Equity incorporating the Variety Artistes' Federation
